How to mark an order as paid manually

If you take cash, card machine payments or PIX (Brazil's instant payment system) settled at the counter, you need somewhere to say "this bill has been paid". In qmen.us that's a single button, inside the order, and it works both for the owner on the Dashboard and for the waiter on the phone.

Quick answer

Open the order on the Dashboard or in the waiter app and tap Mark as paid: that's how you mark an order as paid. The button turns into the Paid label right away, the amount goes into Revenue today and the bill stays as it is — closing the bill and freeing the table are separate buttons.

What marking an order as paid is

Marking an order as paid means recording in qmen.us that the money has come in, however it was settled: cash in hand, a card on the dining room's card machine, PIX straight to the restaurant's key. qmen.us doesn't process any payment and takes no commission — settling up is between you and the guest, and the button just notes that it happened.

Under the hood, qmen.us stores two things: that the order is paid and the exact time you marked it. That time is what feeds Revenue today on the Dashboard. The order's status doesn't change: a Served order stays Served, an open tab keeps taking items, and the table stays occupied until someone frees it.

Why marking the payment is worth it

  • You stop keeping track of paid bills in your head. At the end of the shift, paid orders have the Paid label; unpaid ones still show the green Mark as paid button. One glance tells you what's still to collect.
  • Revenue today on the Dashboard holds up. The number at the top adds up the orders marked as paid that day and shows how many there were and the average order. If nobody marks them, it sits at R$ 0,00 even with a full dining room.
  • Owner and waiter see the same thing instantly. The mark travels in real time: mark it on the waiter's phone and the Dashboard already shows Paid, and the other way around.
  • It works for any payment method. Cash, card machine, PIX to the restaurant's key, whatever you agree on — qmen.us doesn't ask how it was paid, only records that it was.
  • It doesn't run over anything. Mark as paid doesn't close the bill, doesn't free the table and doesn't notify the kitchen. Each of those has its own button, whenever you want.

How to mark an order as paid in 5 steps

There are five short steps: find the order, check the total, collect, mark it and free the table.

  1. Open the order

On the Dashboard, the Live orders block lists everything that's going on; tap the order to open its screen. You can get to the same place another way: on the table's card, the view link takes you to that table's order. At the top of the screen you see the table, the order number and which waiter has it.

  2. Check the total

Scroll to the end of the item list and look at the Total. If the bill is still going to grow, don't mark anything yet. If it's done, the Close bill button closes the tab for payment and turns the order into a read-only summary — it asks for confirmation, because no more items can go in after that.

  3. Collect the way you agreed

This part happens outside qmen.us: cash in hand, the card on the dining room's card machine, PIX to the restaurant's key. qmen.us doesn't see that money and charges no commission per order. Only go back to the screen once the amount has really come in.

  4. Tap Mark as paid

On the open order, tap the Mark as paid button. There's no confirmation box: the button disappears right away and the Paid label takes its place — a green check in the waiter app, a green label next to the Total on the Dashboard. qmen.us records the time, and Revenue today goes up right after.

Tip: A cancelled order can't be marked, and a paid one can't go back: in both cases the button simply doesn't appear.
  5. Mark it from the waiter's phone

The waiter does the same without going into the Dashboard. On the order screen, the footer has Close bill, Mark as paid, Free table and Hide from table page. While the order is a Draft this footer doesn't appear — there's only Discard draft. Once the order has been sent, and also with the bill closed, the buttons are there.

  6. Free the table for the next guests

Collecting and freeing are separate on purpose — some restaurants collect first, and some tables stay another half hour over coffee. When the table empties, tap Free table and confirm. Only then does the table stop showing as occupied on the Dashboard and become free for the next guests.

Frequently asked questions

Does Mark as paid charge any qmen.us fee?+

No. qmen.us doesn't process any money and charges no commission per order. The button is just your own record that the bill was paid — the amount goes straight into your hand, your card machine or your PIX key, without passing through us.

Does Mark as paid close the bill and free the table?+

No, they're three separate buttons. Close bill locks out new items, Mark as paid records the payment and Free table gives the table back to the dining room. You use them in whatever order makes sense for your restaurant, including marking the payment with the bill still open.

I marked the wrong order. Can I undo it?+

Not from the screen: as soon as the order becomes Paid, the button disappears and the label stays. Mark the right order too and adjust the difference in your cash register, outside the app. If this gets in the way of closing out the day, reach us through support.

What changes in the numbers after I mark it?+

Revenue today on the Dashboard counts the orders marked as paid that day, with the number of paid orders and the day's average order. Reports, on the other hand, work with the orders sent to the kitchen in the period, so they still add up even if someone forgets to mark a payment.

What about orders the customer pays by PIX through the public page?+

Those take a different path. The customer says they've paid, and the order stays on hold until you tap Confirm payment on the Dashboard — and that tap is what marks the order as paid and releases it to the kitchen. PIX is still settled directly between the two of you.

Can only the owner mark an order as paid?+

No. Any waiter with access to the restaurant's app marks the payment from the order screen, with no need for a Google account or the Dashboard. It's the same record, and both sides see it right away.
