How to add a waiter and give them access to the app

A waiter on qmen.us doesn't need a new account or an app from a store: they get their own link and a password you set yourself. In a minute their card is on the Dashboard, ready to place orders at the table.

Quick answer

Open Waiters in the restaurant Dashboard and tap New waiter: that's how you add a waiter. Fill in the name, optionally their Google email and a password of at least 4 characters. The card comes with their own link for you to copy and send.

What waiter access to the app means

Adding a waiter means creating, inside your restaurant, a login with its own name and address. Each waiter you add gets a link in the format qmen.us/your-restaurant/w/waiter-name/ and a password you set right away or later. That's how they open the restaurant app, pick the table, build the tab and send the items to the kitchen — all in their phone's browser, with nothing to install.

This access is separate from the Google sign-in you use as the owner. The email is optional: if you fill it in, that Google account is linked automatically the first time it signs in, and the waiter gets a Sign in with Google button on their screen. If you leave it blank, they sign in with the restaurant password only — which works for staff who don't want to use any account on the restaurant's device.

Why each waiter has their own link and password

  • You know who placed each order. Since each one signs in through their own address, the order carries the waiter's name. Their card shows orders in hand, orders today and tables served, and the Dashboard adds it all up at the top of the page.
  • Nobody needs a new account. No email, no sign-up, no app to download: you send the link, they type the password once per device and that's it. On the next shifts the phone opens straight into the restaurant app.
  • The password is yours, not Google's. You set it, you see it behind the eye icon on the card and you change it whenever you like. If someone leaves the team, just remove their card and the access is gone instantly.
  • You can adjust things without redoing anything. Renaming, changing the color, setting another password or marking a shift are taps on the card itself — the link stays the same and the waiter doesn't even notice.
  • It costs nothing. qmen.us is free for the restaurant with no commission per order, so add as many waiters as your restaurant has. We're not a marketplace: the order is yours and you arrange payment directly with the customer.

How to add a waiter in 6 steps

Six steps, from the Dashboard to the waiter placing their first order at the table.

  1. Open the Waiters page

In the restaurant Dashboard, tap the Waiters card — it already shows how many are added and how many are on shift now. The page opens with four numbers at the top: waiters added, on shift now, orders in hand and orders today. Below are the cards, one per waiter.

  2. Tap New waiter

The New waiter button is in the top corner of the page, and the same form opens from the dashed square at the end of the grid. A small window opens with four fields: name, email, password and color.

  3. Fill in name, email and password

Name is the only required one — use what everyone calls them on the floor, because that's the name that appears on the tab. Email (Google sign-in) is optional and only makes sense if they'll sign in with their Google account. Restaurant password is also optional here, but with at least 4 characters; without it, access only works through Google. Pick a Color so you can spot their card in the grid at a glance and tap Add.

  4. Let the waiter sign in and check

When they open the link, they see their own name, the restaurant's name and the Password field. If you added the email, a Sign in with Google button also appears above the field. After Sign in, they land on the screen to pick a table and can build their first tab. The password stays valid on that device, so they don't type it again every shift.

Tip: Got the password wrong several times? Access locks for a few minutes for safety. Wait and try again, or set another password from the card.
  5. Adjust the card when you need to

On the card you can tap Set or Change to change the password, Rename to fix the name, the colored avatar to change the color, and the On shift / Off shift badge to mark who's working right now. To remove access for good, use Remove: the confirmation window warns that orders already placed stay in the system. The color changes at once, with nothing to save: tap the avatar, pick one of the six colors and you're done. It helps you spot the waiter at a glance on the card, in the Waiters on shift list on the dashboard and in Performance by waiter, in Reports.

Frequently asked questions

Does the waiter need a Google account?+

No. The email is optional: without it, the waiter signs in with the restaurant password only, through their link. If you fill in the email, linking that Google account happens automatically the first time it signs in — there's no invite to accept.

Where exactly does the waiter type the password?+

In two places. On their own link, in the Password field of the sign-in screen; or on the qmen.us sign-in screen, in the "or sign in as staff" block, filling in Restaurant code and Staff password. Both paths lead to the same app.

Can I use the same password for all waiters?+

You can, but don't. Through the restaurant code path, sign-in goes to the first waiter whose password matches — and then orders go out under the wrong name. A different password per person keeps the orders today and tables served report accurate.

I forgot which password I set. How do I see it?+

On the waiter's card, tap the eye icon next to Password set to reveal it. If a reset notice appears instead of the password, tap Change, save a new one with at least 4 characters and pass it on to them.

What happens to orders when I remove a waiter?+

The orders they placed stay in the system, under their name. If there's history, the profile is archived and access is revoked instantly; with no history, the card disappears for good. This can't be undone.

Do I have to mark On shift for them to be able to work?+

No. The shift is an indicator so you can see who's on the floor right now and how many orders each one has in hand. Access to the app depends on the link and the password, not the shift.
