Toast alternatives: honest options for your restaurant

Toast is a POS built only for restaurants that covers the whole operation, from the terminal to payroll, and it sells in the US, the UK, Ireland, Canada and Australia. The usual reasons to look elsewhere are concrete: the card rate isn't published, the software only runs on Toast-approved hardware, and the cheapest plan is limited to new, single-location restaurants. Here's what the alternatives offer, with their own published numbers, and when staying with Toast is the better call.

Quick answer

The closest Toast alternatives are Square (Free plan, $0 a month, 2.6% + 15¢ in person in the US), Clover (2.3% + 10¢, 36-month bundle) and Lightspeed (from 69 USD). If you want to keep your terminal and only need ordering and a kitchen display, qmen.us is free but doesn't take payments.

What Toast is, and why owners shop around

Toast is an all-in-one restaurant platform: POS terminals and handhelds, card payments, a kitchen display, online ordering, Toast Mobile Order & Pay, third-party delivery integrations, payroll, scheduling, loyalty and more, sold as add-ons on top of a base plan. Its pricing page lists a Starter Kit from $0 a month (a hardware kit with no upfront cost, 1 location, up to 2 terminals), Point of Sale from $69 a month with hardware you choose, and custom "Build Your Own" pricing. In the UK, Starter is from £80 a month and Essentials £150.

Toast's real strengths are depth and support: 24/7 support is included in every subscription, and its offline mode keeps taking orders, printing tickets and accepting card payments when the internet drops. Owners look at alternatives mainly for three reasons you can verify on Toast's own page: the processing rate is quoted rather than published, the services work only on Toast-approved hardware, and the $0 Starter Kit pricing applies to new customers and single locations only.

What to weigh before you switch

  • Published card rates. Square (2.6% + 15¢ on Free), Clover (2.3% + 10¢) and SpotOn (2.45% + 15¢ on Essentials) publish US in-person rates; Toast gives its rate on request.
  • Hardware you can reuse. Toast hardware works only with Toast. If you switch, budget for new devices with any POS, and check whether the new hardware is locked too.
  • Contract length. Clover's hardware offer requires a 3-year contract and SpotOn's All-In plan has a 2-year minimum term. Square's Free plan has no monthly fee to cancel.
  • What you actually use. If you mostly use Toast for orders and the kitchen screen, you may not need a full platform; an ordering tool next to a simpler POS can cost less.
  • Tax receipts. Whatever replaces Toast for payments must still give sales-tax receipts in the US, VAT receipts on request in the UK, and certified bills in Québec.

Toast

Stay with Toast, or pick it, if you're a US full-service restaurant that wants one vendor for POS, payments, handhelds, kitchen display, online ordering, delivery integrations and payroll, with 24/7 phone support and offline card payments. That combination is hard to match. Toast's plans: Starter Kit from $0 a month, Point of Sale from $69, Build Your Own on quote, and a POS plus payroll bundle at $69 a month plus $9 per employee. Get the card rate in writing.

qmen.us

qmen.us replaces the ordering and kitchen side of Toast, not the payments. It's free: no monthly fee, no commission, no paid plan, no card. You get a digital menu with photos and add-ons, table QR codes, a waiter app in any phone browser, a real-time kitchen display with prep stations and item-by-item completion, a ready board with a spoken call on the TV, guest self-ordering, and thermal kitchen tickets that keep printing offline through a local ordering page. It runs on devices you already own. What it lacks compared with Toast: card payments, terminal integration, tax receipts, split bills, delivery-platform integrations, inventory, payroll, reservations, floor plans, multi-location and manager or cashier roles. Support comes from a small team in Brazil via the contact page and WhatsApp, not a 24/7 phone line. It fits if you keep a simple POS or terminal for payment and want to stop paying for ordering and KDS add-ons.

Square for Restaurants

Square lets you start without a monthly fee: the Free plan is $0 and includes menu management, pickup and local delivery, and a branded online ordering page. You pay 2.6% + 15¢ per in-person sale and 3.3% + 30¢ online (2.5% + 15¢ in person on Plus). The KDS app is $30 a month per device on Plus. Square also publishes UK prices (Free £0, 1.75% in person) and Australian ones (Free $0, 1.6%). Best for a café, counter or food truck that wants transparent per-sale pricing.

Clover

Clover's full-service Starter bundle is $179 a month for 36 months, or $1,799 plus $89.95 a month, including a Station Solo terminal, cash drawer and receipt printer, with table mapping, bill splitting, QR-code order and pay and no-fee online ordering. Its published rate of 2.3% + 10¢ in person is the lowest among the US rates we found. Best for owners who want a fixed bundle and accept a long contract.

Lightspeed Restaurant

Lightspeed lists Starter at 69 USD, Essential at 189 USD and Premium at 399 USD (billing period not stated on the page), with the KDS at $30 per screen per month. Order and pay at table, online ordering, floor plans and an offline mode are part of the plans. Best for busy restaurants and bars with several rooms or menus.

SpotOn

SpotOn's All-In plan is $0 per station a month with hardware included, at 2.79% + 20¢ per card-present sale and a 2-year minimum term. POS Essentials is $55 per station a month at 2.45% + 15¢, with hardware such as the Station 15 at $750. Best for US restaurants that want Toast-style hardware without paying upfront.

How to move off Toast without a bad week

Switching POS mid-season is risky. These steps keep service running while you change.

  1. Check your Toast contract and hardware

Find your contract end date, any early-termination terms, and which devices you own outright. Toast hardware only works with Toast, so plan for new devices if you change POS.

  2. Ask for written quotes at your volume

Send each candidate your monthly card sales and transaction count and ask for the total monthly cost. Compare against Toast's actual rate on your statement.

  3. Separate payments from ordering

Decide what must be in the POS (card payments, tax receipts, cash drawer) and what can live in a separate tool (menu, table QR, waiter orders, kitchen screen). Splitting the two gives you more options.

  4. Run ordering in parallel first

Set up qmen.us or another ordering tool before the cutover: load the menu, print table QR codes, open the kitchen display on a tablet. Run a quiet lunch on it while Toast still takes payments.

Tip: Open the qmen.us kitchen display on an old tablet or TV you already have. If it works for a lunch shift, you've saved buying a KDS screen.
  5. Switch the payment terminal on a slow day

Move card payments to the new POS on your quietest day, with the old terminal still available as a backup if your contract allows.

  6. Review after a month

Compare the first full statement with your last Toast one: card fees, subscription and add-ons. If the saving isn't there, you'll know exactly which line to renegotiate.

Frequently asked questions

What is the cheapest alternative to Toast?+

For payments, Square's Free plan has no monthly fee and published rates (2.6% + 15¢ in person in the US). For ordering and the kitchen display, qmen.us is free with no commission, but it doesn't take payments, so you'd pair it with a terminal.

Can I use my Toast hardware with another POS?+

Toast's pricing FAQ says its services only work on Toast-approved hardware; it doesn't say other systems can use that hardware, so plan for new devices. Kitchen screens are the exception if you use a browser-based display like qmen.us, which runs on any tablet or TV with a browser.

Is Toast available outside the US?+

Yes. Toast has sites for the UK, Ireland, Canada and Australia. In the UK it lists Starter from £80 a month and Essentials at £150 a month.

Does qmen.us work offline like Toast?+

Partly. qmen.us keeps kitchen-ticket printing working offline through its printing agent, with a local ordering page on your network that syncs back without reprinting. Toast's offline mode also keeps taking card payments, which qmen.us can't do because it doesn't process payments.

When is Toast the better choice?+

When you want one vendor for payments, handhelds, kitchen, online ordering, delivery integrations and payroll, with 24/7 support, and you run a full-service restaurant in the US or another Toast country. If that's you, compare Toast's quoted rate with Clover and Square, but Toast may well be the right pick.
