How to add waiters and give them access to the app

Your whole floor staff can start taking orders today, without installing anything and without creating an account for anyone. You add each person on the Dashboard, send a link over WhatsApp and that's it.

Quick answer

Open Manage restaurant and go to Waiters to add your waiters one by one: enter the name, set the restaurant password and tap Add. Each one gets their own URL, like qmen.us/your-restaurant/w/joana/, and signs in through it on any phone, without installing anything.

What the waiter app is

Adding waiters on qmen.us means giving each person who works the floor their own access, right from the Dashboard. That access isn't a new account: it's a link unique to your restaurant, with a password you set yourself, separate from the Google sign-in you use as the owner.

In practice, that link is the waiter app. It's where the person opens a table's tab, adds items from the menu or a custom item, reviews the Draft and sends it to the kitchen. Without this setup, no one on the floor can enter orders — only you, from the Dashboard.

Why each waiter needs their own link

  • The team gets in within seconds, no red tape. There's no sign-up form for the person to fill out, no confirmation email and no app to download. You send the link, they type the password and they're already taking orders.
  • Every order has a name on it. The color you choose when adding someone shows up on the waiter's card and on the ticket that goes to the kitchen, so you know right away who entered what and who takes the Ready dish to the table.
  • You see the floor from the Dashboard. The cards show who's on shift, how many orders each person has in hand, at which tables and since when, plus the total orders and tables served that day.
  • Whoever leaves the team loses access instantly. One tap on Remove and the old link stops working, without having to change the whole restaurant's password or tell everyone else.
  • It costs nothing per person. We don't charge the restaurant or take a commission on orders, so adding your whole team doesn't change your bill at the end of the month.

How to add waiters in 6 steps

It takes about four minutes and you can do it all from your own phone, without touching any settings.

  1. Open the Waiters page

On your restaurant's Dashboard, tap the Waiters card and then Manage. At the top of the page you see four numbers: how many waiters you've added, how many are on shift right now, how many orders the team has in hand and how many orders went out today. Right below are the cards, one for each person.

  2. Tap New waiter

The last card in the grid is New waiter, with the caption "Gives access to the restaurant app". Tap it and fill in the Name field — a first name is enough; it's what will show on the card, in the kitchen and in reports.

  3. Choose how they'll sign in

The next two fields are optional, and you can use one, the other or both. In Email (Google sign-in), enter the person's Gmail if they already use Google on their phone. In Restaurant password, type a password of at least 4 characters — it's the quickest way, because it doesn't depend on any account. Pick one of the six colors and tap Add.

  4. Do the first sign-in on their phone

Ask them to open the link in the browser, type the password and tap Sign in. When an email has been added, the screen also shows the Google button, with an "or" between the two options. If they get the password wrong several times in a row, access locks for a few minutes and then unlocks on its own — that's protection, not a bug.

  5. Manage shifts and revoke access for people who leave

In the corner of each card there's an On shift / Off shift button: tap it to mark who clocked in and who's done. Also on the card you have Rename, Change (to set a new password, with an eye icon to reveal the current one) and Remove. Remove takes away access instantly; the orders the person already entered stay in the system.

Frequently asked questions

Does the waiter need to install an app?+

No. qmen.us runs in the phone's browser. The waiter opens their link, types the password once and that's it — there's no app to download from any store.

Do I need a Google account for each waiter?+

No. The email field is optional. Without an email, the waiter signs in with just the restaurant password. With an email, they also get the sign-in with Google button.

Can two waiters use the same phone?+

Yes. Each waiter has their own link and password, and the browser keeps the sessions separate. The same device can stay signed in for more than one waiter at the same time.

I forgot a waiter's password. Now what?+

On their card, tap Change and save a new password. If the password is already stored, the eye icon next to it shows it without having to change it.

What happens to the orders of someone I removed?+

Nothing is lost. The orders the person entered stay in the system and in reports. When there's history, qmen.us only revokes access instead of deleting the waiter.

Does adding more waiters cost anything?+

No. qmen.us is free for the restaurant and charges no commission per order. Add as many floor staff as you need.
