How to remove access for a waiter who left

A waiter quit and moved on, and their link still opens the restaurant app. You can fix that in two clicks, without touching anything they already entered.

Quick answer

Open Manage restaurant, go to Waiters, find the person's card and click Remove to take away the waiter's access instantly. If the team shared the restaurant password, also click Change on the other cards and set a new password. The orders they placed stay in the history.

What happens when someone leaves the team

Removing a waiter's access in qmen.us means removing their profile on the Waiters screen. Each waiter has their own link (the address ending in /w/ and their name) and signs in there with the invited Google account or the restaurant password. While the profile exists and is active, that link opens the app and they can place orders at any table. When you remove it, the link stops opening — even on a phone that was already signed in.

We separate two things that often get mixed up. Removing cuts off access; ending the shift cuts off nothing, it's just a sign of who's working right now. And changing the password shuts the door on someone who only remembers the old password, but a device that already signed in keeps getting in until you remove the profile. So for someone who has left for good, the way to go is Remove.

Why do it the same day

  • The link doesn't expire on its own. It stays saved on the phone of whoever left and keeps opening the restaurant app until you remove the profile.
  • Whoever left can still see the whole restaurant. In the app, a waiter sees the open orders of every table, not just their own — so bills, items and the dining room's activity are all on view.
  • The history isn't at risk. Removing deletes nothing: the orders they placed stay in the system and keep counting in your numbers.
  • A shared password is the most common gap. If two or three waiters used the same restaurant password, removing one profile without changing the others' password leaves the door ajar.
  • It takes less than a minute. One button and one confirmation, right from the browser, without opening a ticket with anyone.

How to remove a waiter's access, step by step

Do it from a computer or a phone — qmen.us runs in the browser. You need to be signed in as the restaurant's owner.

  1. Open the Waiters screen

In the restaurant Dashboard, click the Waiters card (the one showing how many are added and how many are on shift). A grid opens with one card per waiter: name, color, access link, password and what they have in hand.

  2. Check what they have in hand

The card shows whether the person is On shift and how many active orders are with them, with the tables next to it. You don't have to wait for it to empty: open orders stay on the tables and any other waiter signed in to the app can see them and carry them forward.

  3. Click Remove and confirm

At the bottom of the card is the Remove button. The confirmation "Remove [name]?" appears, warning that the person loses access to the restaurant app right away and that orders already placed stay in the system. Click Remove waiter. The card disappears from the grid and their /w/ link stops opening.

Tip: Test it yourself: open the waiter's link in a private window. If you see page not found, the access is gone.
  4. Change the password for those who stayed

If the team shared the same restaurant password, the person who left still knows it. On each remaining card, click Change (or Set, if there's no password yet), type a new password with at least 4 characters and save. The password is visible on the card itself, behind the eye icon, so you can pass it on to the staff.

  5. Tell the team and check the counters

Each waiter types the password once per device, so send the new one in the group chat and ask them to sign in again. At the top of the screen, the number of waiters added goes down on its own and the orders today counter stays the same — a sign the history is intact.

Frequently asked questions

Does removing delete the orders they placed?+

No. If the waiter already has orders in the system, qmen.us keeps the profile behind the scenes and only revokes access — the card leaves the Waiters screen, but each old order keeps the name of whoever placed it. Your numbers for today and your reports don't change.

Does changing the password kick out whoever is already signed in?+

No. Changing the password blocks a new sign-in with the old password, but a phone that already got in stays in. To cut off access for someone who left, what works is to Remove their profile.

Doesn't ending the shift remove access?+

No, it doesn't. The On shift / Off shift button is just a sign of who's working right now, so you can keep track of the dining room. Off shift, the waiter can still open the app and place orders.

What if they signed in with Google, not a password?+

Same path. Access comes from the profile on the Waiters screen, not from the Google account: once you remove the profile, the link stops opening even with their account signed in to the browser.

Is there an app to uninstall from their phone?+

No. qmen.us runs in the browser and has no app in a store — what grants or removes access is the profile in the Dashboard. That's why asking them to delete the shortcut from their phone isn't enough; remove the profile.

They're back working here. Can I undo it?+

Removing has no undo, but adding them again is quick: click New waiter, enter name, email (optional) and password, and the new link is ready. Old orders stay recorded under the old profile.

Glossary

Waiters
The Dashboard screen where you add, rename, set passwords for, track the shifts of and remove the people who work the floor.
Waiter link
A personal sign-in address for the restaurant's app, with the waiter's nickname at the end. It's removed along with the waiter.
Restaurant password
A short password the owner sets so a waiter can sign in to the app without a Google account.
On shift / Off shift
Shows who's working right now. It helps you keep track of the floor; it doesn't grant or block access.
Active orders
What's open with that waiter — Draft, Preparing, Ready or Served but still at the table — with the tables listed on the card.
